Overview
Our client wanted to improve and streamline the management of a university residence hall with more than 300 rooms.
Before adopting Scops, all maintenance requests were reported in person at the reception or via phone. This process was not immediate for the students and, at the same time, it was not efficient for the residence managers to manually handle so many assets used daily by students in their apartments and common areas, along with associated maintenance requests.
In addition, it was impossible for facility managers to gain insight from the data to identify, for example, the most common faults or the most problematic areas of the residence hall.
Thanks to Scops, our client was able to streamline maintenance activities by digitalizing more than 3,000 assets contained within the residence hall, creating a profile for each room, air conditioner, and more. Scops has made maintenance requests smarter by creating QR codes in each room, allowing students to send reports easily and instantly.
The maintenance team can see all open tickets, assign the maintenance activities to a specific technician, and keep track of ongoing activities in a simple and intuitive way.
The maintenance team can then use the same QR-code used by the student to access the asset's data on his or her dedicated digital profile, view instruction manuals and attached technical documentation, see the history of interventions performed on the asset, and record the intervention.
All the data on faults, interventions, controls and measurements collected in the field can then be easily accessed by maintenance managers who can now check what is happening in the building through intuitive and interactive dashboards.
Scops also provides suggestions and information on asset maintenance and performance such as the most common faults, the most problematic areas of the building and the distribution of workload among maintenance workers. All this information helps them optimize building performance and simplify the maintenance intervention process.
